Responsibilities : Primary:

Enhances Secretary General's (SG) effectiveness by providing information management support; following up on team members; representing the SG to others.
  : Secondary:

To be available to support the secretariat as a temporary replacement for positions that are either temporarily or permanently vacant. This temporary replacement may be reviewed and be considered as a permanent placement.
  : The ideal candidate:

This candidate should be a recent graduate (1-5 years working experience) with a good quality degree (any will do) and have excellent written and spoken English
  Must have excellent skill levels for Microsoft Office Skills (especially MS Excel and Power Point).
  The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.
  The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
     
Requirement : Duties:
  Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  Conserves SG's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.
  Maintains SG's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  Arrange travel schedule and reservations for executive management as needed.
  Represents the SG by attending meetings in the absence; speaking for the SG.
  Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  Maintains external relations confidence and protects operations by keeping information confidential.
  Completes projects by assigning work to other team members; following up on results
  Prepares reports by collecting and analysing information.
  Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  Essential to possess - Writing Skills, Reporting Skills, Scheduling, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, Verbal Communication.
